Roles & Permissions

Pono uses a role-based permission system to control what team members can see and do within your workspace.

Available Roles

Owner

The account owner has full access to everything in the workspace:

  • All documents, tasks, roadmaps, and content
  • Team management (invite, remove, change roles)
  • Billing and subscription management
  • Brand Brain creation and editing
  • Settings and integrations

There is one Owner per workspace. Ownership can be transferred to another member by contacting support.

Admin

Admins have near-full access:

  • All documents, tasks, roadmaps, and content
  • Team management (invite and remove members, but cannot change Owner)
  • Brand Brain creation and editing
  • Settings management (except billing)

Member

Members have standard collaboration access:

  • View and edit all documents, tasks, roadmaps, and content
  • Create new documents, tasks, and posts
  • Cannot manage team membership
  • Cannot access billing or subscription settings
  • Cannot delete Brand Brains

Viewer (if available on your plan)

Viewers have read-only access:

  • Can view documents, tasks, roadmaps, and content
  • Cannot create or edit anything
  • Useful for clients or stakeholders who need visibility without edit access

Changing a Member's Role

  1. Go to Settings > Team.
  2. Tap the ... menu next to the team member.
  3. Select Change Role.
  4. Choose the new role.
  5. Confirm.

Changes take effect immediately.

Brand-Level Permissions

If you manage multiple Brand Brains (see Managing Multiple Brands), access can be scoped per brand. A team member can be:

  • A Member of Brand A
  • Not have access to Brand B

Configure brand-level access in Settings > Team and selecting the brand scope for each member.
