Collaborating on Documents
Pono supports real-time document collaboration so multiple team members can work on the same document together.
Opening a Shared Document
Any team member with Member-level access or above can open and edit documents in the workspace. Simply navigate to Documents, find the document, and tap to open it.
Editing Together
When multiple people are working in the same document at the same time:
- Each collaborator's changes appear in near real-time
- Auto-save ensures no work is lost
Adding Comments
Use inline comments to leave feedback, ask questions, or flag sections for review — without editing the document text directly.
- Highlight the text you want to comment on.
- Tap Add Comment from the toolbar that appears.
- Type your comment and tap Submit.
Collaborators will see the comment marker. They can reply inline to start a thread.
Resolving Comments
Once a comment has been addressed:
- Tap the comment marker.
- Tap Resolve.
- The comment will be marked as resolved and hidden from the default view.
Team Roles and Document Access

Sharing a Document with an External Reviewer
To get feedback from someone outside your workspace without giving them workspace access, export the document as a PDF and share the file directly. See Exporting Documents.
Tracking Team Activity
The Dashboard's Team Progress section shows recent document activity across your team — useful for managers who want to see what's being worked on without interrupting collaborators.
